Hotel Analytics Dashboard โ What It Tracks and Where to Find It
Analytics Intelligence is the hotel analytics dashboard built into Modern Hotel Booking Pro. It is found under Hotel Booking โ Pro Experience โ Analytics in your WordPress admin. The hotel analytics dashboard pulls data directly from your bookings, payments, and room inventory โ no third-party tool, no Google Analytics dependency, no data leaving your server.
It covers every dimension a property owner needs to evaluate performance: revenue (booked vs collected), industry-standard hotel KPIs including ADR, RevPAR, and occupancy rate in WordPress, booking source distribution, lead time behaviour, day-of-week demand patterns, tax collected, payment status, and cancellation impact. Every section updates when you change the date range.
Setting Your Date Range
At the top of the Analytics Intelligence dashboard you’ll find the date range selector. The dashboard defaults to the last 30 days on load. Four quick filters are available:

For a custom range, enter your start and end dates manually and click Update. All KPIs, charts, tables, and export data will recalculate for the selected period. The percentage change indicators (โ or โ) on KPI cards compare your selected period against the equivalent previous period of the same length.
Key Performance Indicators โ Every Metric Explained
The KPI panel is the first section of the dashboard. It shows ten metrics across the selected date range. Here is exactly what each one measures and what data it requires to calculate correctly:
The sum of all booking values within the selected period regardless of payment status. This is your booked and billed revenue โ what guests owe you. It includes confirmed bookings and pending bookings. The percentage indicator compares this figure against the equivalent previous period. This is the top-line revenue number for your property.
The portion of Total Revenue where payment has been actually received and recorded. A payment is counted as collected only when its status is updated to reflect receipt in the Payments section. The percentage shown is collected as a share of total revenue โ this tells you your cash conversion rate. This figure directly affects ADR and RevPAR.
The difference between Total Revenue and Total Collected Revenue. This is your pending payments total โ money billed but not yet received. For properties that collect payment on arrival rather than at booking, this figure will reflect the full value of upcoming stays. It is not the same as overdue debt.
Booked nights as a percentage of total available room-nights in the selected period. Shown with the raw count (e.g. 80 / 186 nights). Calculation: booked nights รท (number of rooms ร number of days in period) ร 100. A 43% occupancy rate over 30 days across 6 rooms means 80 nights were booked out of 186 available room-nights. This metric uses all bookings regardless of payment status.
Average Daily Rate โ collected revenue รท booked nights. ADR measures the average revenue earned per occupied room night and is one of the core hotel KPIs tracked in WordPress. ADR calculates from collected revenue only. If no payments have been recorded as received, ADR will display zero โ this is correct behaviour, not a bug. Once payments are marked as collected in the Payments section, ADR will update accurately.
Example: If you collected RON 10,000 across 80 booked nights, ADR = RON 125.00 per night.
Revenue Per Available Room โ collected revenue รท total available room-nights. RevPAR combines occupancy and rate into a single number that reflects how well you’re monetising your total room inventory, not just your occupied nights. Unlike ADR, an empty room counts against RevPAR. RevPAR also calculates from collected revenue only. Same zero-display behaviour as ADR when no payments are collected.
Example: If you collected RON 10,000 across 186 available room-nights, RevPAR = RON 53.76 per available room-night.
โ ๏ธ ADR and RevPAR showing zero? This is the most common analytics question. Both metrics require collected revenue to calculate. If your bookings are in Pending payment status โ which is normal for properties that collect on arrival โ ADR and RevPAR will show zero until payments are recorded. Go to Hotel Booking โ Pro Experience โ Payments, find the relevant booking, and update the payment status to reflect receipt. The analytics dashboard will then show accurate ADR and RevPAR figures.
Count of all bookings created in the selected period regardless of status. The percentage indicator shows growth vs the previous equivalent period. Includes confirmed and pending bookings; excludes cancelled bookings.
Confirmed bookings as a percentage of total bookings in the period, shown with the raw count (e.g. 16 / 19 confirmed). A high confirmation rate indicates a healthy booking funnel. A declining confirmation rate may indicate an issue with the booking process, pricing, or availability.
Total Revenue divided by Total Bookings. This is the mean value per reservation in the period. Useful for tracking whether your pricing strategy is increasing per-booking revenue over time or whether shorter stays are pulling the average down.
Total VAT or sales tax collected on bookings in the selected period. This figure appears here and in full detail in the Tax / VAT Analytics section below. Requires the Tax feature to be configured under Hotel Booking โ Pro Experience โ Tax. If tax is not configured, this will show zero.
Hotel Analytics Dashboard โ Charts and Visual Reports
Below the KPI panel, the WordPress hotel analytics dashboard provides five visual report sections. Each updates with your selected date range.
๐ Revenue Trends
A time-series chart plotting total booked revenue across the selected date range. Useful for identifying seasonal patterns, peak booking periods, and revenue spikes or troughs. Compare against prior periods by adjusting the date range manually.
๐จ Occupancy by Day of Week
Shows which days of the week generate the most occupied room-nights in the selected period. Useful for identifying whether your property is predominantly weekend-driven or mid-week, which informs minimum stay rules and dynamic pricing strategy. A property with strong weekday occupancy may benefit from different pricing than one that peaks on weekends.
๐ 30-Day Occupancy Forecast
A forward-looking view showing booked nights across all rooms for the next 30 calendar days based on confirmed reservations currently in the system. Unlike the other charts, this section is not constrained by your selected date range โ it always shows the next 30 days from today. Use it to identify gaps in upcoming occupancy where a promotional push or rate adjustment could fill availability.
๐ Booking Sources
A breakdown of bookings by source channel. The two primary sources are Public (direct bookings made through your WordPress website booking form) and Manual (bookings entered directly by you in the WordPress admin โ typically OTA bookings you’re recording for calendar management). This split tells you what proportion of your revenue is commission-free direct business vs manually entered external bookings.

A table showing bookings, total revenue, and collected revenue broken down by source (Public and Manual). This is the financial version of the Booking Sources chart โ it shows not just how many bookings came from each source but how much revenue each source generated and how much of that has been collected. Useful for understanding the financial weight of your direct booking channel versus manually entered external reservations.
Room Type Performance
The Room Type Performance table shows bookings, revenue, occupancy rate, ADR, and RevPAR broken down by room type across the selected period. If you have multiple physical room units of the same type, they are grouped together here.
The table columns are:
- Room Type โ the room type name as configured in your room settings
- Bookings โ total bookings in the period for this room type across all units
- Revenue โ total booked revenue for this room type in the period
- Occupancy โ booked nights as a percentage of all available room-nights for this type (all units ร days in period)
- ADR โ collected revenue divided by booked nights for this room type (zero if no payments collected)
- RevPAR โ collected revenue divided by total available room-nights for this type (zero if no payments collected)
๐ก Why does a room type show over 100% occupancy rate? The occupancy percentage for a room type is calculated across all physical units of that type combined. If you have six Double Rooms and 19 bookings in a 30-day period, total available room-nights = 6 ร 30 = 180. If those 19 bookings cover a combined total of more than 180 room-nights (e.g. longer stays overlapping across units), the percentage can exceed 100%. This is a calculation across the type, not a single room โ it does not mean any individual room is double-booked.
Tax and VAT Analytics
The Tax / VAT Analytics section shows three figures for the selected period:
- Total Tax Collected โ the total VAT or sales tax amount from taxed bookings in the period, with the count of taxed bookings shown below it
- Net Revenue โ total revenue before tax is applied (the pre-tax base amount)
- Gross Revenue โ total revenue including tax
This section requires the Tax feature to be active and configured under Hotel Booking โ Pro Experience โ Tax. If no tax rules are configured, all three figures will show zero. Tax data can be exported separately using the Export Tax Report (CSV) button at the bottom of the dashboard.
Payment Methods and Payment Status
Two payment analysis sections appear in the dashboard:

A breakdown of bookings and revenue by payment method used. The methods shown depend on which payment gateways you have configured under Hotel Booking โ Pro Experience โ Payments. If you accept multiple payment methods โ for example bank transfer, cash on arrival, and online card โ this section shows the distribution between them.
๐ Payment Status Breakdown
A table showing bookings and total revenue grouped by payment status (Pending, Collected, Partial, Refunded, etc.). This section is directly connected to the ADR and RevPAR metrics โ only bookings with a Collected payment status contribute to those calculations. If you see all bookings listed under Pending and ADR / RevPAR showing zero, this is why.
Real-Time Activity and Today’s Operations
The Real-Time Activity section sits outside the date range filter โ it always shows current live data regardless of the period selected in the dashboard.

A live feed of the most recent booking activity showing guest name, room number, booking value, and payment status icon (โณ pending, โ confirmed). This gives you a quick at-a-glance view of incoming reservations without navigating to the full bookings list.

Shows today’s check-ins and check-outs. If no guests are arriving or departing today, it displays “No check-ins or check-outs today.” This is your daily front-desk overview โ useful for properties that use the WordPress admin as their primary operations interface.
Lead Time Analysis and Monthly Demand
๐ Lead Time Analysis
Shows the distribution of bookings by how far in advance they were made โ the gap between booking date and check-in date. Lead time buckets are: 0 Days (same-day bookings), 1โ7 Days, 8โ14 Days, 15โ30 Days, 31โ60 Days, and 60+ Days.
This analysis has direct implications for pricing strategy. A property with a high proportion of 60+ day bookings can apply dynamic pricing more aggressively for early bookers and hold higher rates for last-minute demand. A property dominated by 0โ7 day bookings operates in a last-minute demand market and may benefit from different minimum stay rules and rate strategies than a property with a long booking window.

A month-by-month view of booking volume across the selected period. Useful for identifying seasonality patterns โ which months generate the most bookings, and which are historically slow. Use this alongside the Revenue Trends chart to understand whether your peak booking months also correlate with peak revenue or whether shorter stays in busy months pull revenue down despite higher occupancy rate.
Cancellation Tracking
The Cancellation Tracking section shows three figures for the selected period:
- Cancellation Rate โ cancelled bookings as a percentage of total bookings in the period (e.g. 0 / 19 = 0.0%)
- Potential Lost Revenue โ the total value of bookings that were cancelled in the period
- Counted Cancellations โ raw count of cancelled bookings
A rising cancellation rate is a signal worth investigating โ common causes include a cancellation policy that is too flexible, a long booking window that gives guests more time to reconsider, or pricing that guests comparison-shop after booking. The Potential Lost Revenue figure gives you the actual financial impact, not just a count.
CSV Exports โ Financial, Occupancy, Tax, Payments
At the bottom of the Analytics Intelligence dashboard, four CSV export buttons are available. All exports reflect the date range currently selected in the dashboard โ set your date range before exporting.

Frequently Asked Questions
Why are ADR and RevPAR showing zero in the analytics dashboard?
ADR and RevPAR calculate from collected revenue only โ not total booked revenue. If your bookings are in Pending payment status, no revenue has been recorded as received yet and both metrics display zero. This is correct behaviour, not a bug. Go to Hotel Booking โ Pro Experience โ Payments and update payment statuses to reflect received payments. ADR and RevPAR will update immediately.
Why does my room type show over 100% occupancy rate?
The Room Type Performance table groups all physical units of the same type together. Occupancy rate is calculated across all those units combined. If bookings in the period cover more total nights than the number of units multiplied by the days in the period, the percentage exceeds 100%. This is a room-type-level aggregate, not a per-room figure โ it does not indicate a double booking on any individual room.
Is the Analytics Intelligence dashboard free or Pro only?
Analytics Intelligence is Pro only. The free version does not include any hotel analytics dashboard, KPI tracking, revenue reporting, charts, or CSV exports. It is found under Hotel Booking โ Pro Experience โ Analytics with an active Pro licence.
What is the difference between Total Revenue and Total Collected Revenue?
Total Revenue is all booking values in the period regardless of payment status โ what has been billed. Total Collected Revenue is the subset where payment has been received and recorded. The difference is your Outstanding Balance. For properties that collect on arrival, the Outstanding Balance will naturally reflect the full value of upcoming confirmed stays until check-in occurs and payment is recorded.
What CSV reports can I export from the hotel analytics dashboard?
Four CSV exports are available at the bottom of the dashboard: Financial Report, Occupancy Report, Tax Report, and Payments. All exports reflect the date range currently selected โ set your range before clicking export. The Tax Report requires the Tax feature to be configured under Hotel Booking โ Pro Experience โ Tax.
What does the 30-Day Occupancy Forecast show?
The 30-Day Occupancy Forecast shows booked nights across all rooms for the next 30 calendar days based on confirmed reservations currently in the system. It is always forward-looking from today regardless of the date range selected in the rest of the dashboard. Use it to identify upcoming gaps in occupancy where rate adjustments or promotional activity could help fill availability.
How do I use Lead Time Analysis to improve hotel revenue?
Lead Time Analysis shows how far in advance your guests typically book. If your bookings cluster in the 8โ14 day and 60+ day buckets, you have both an early-booker segment and a medium-advance segment โ each can be priced differently using the Advanced Pricing feature. Early bookers (60+ days) can be rewarded with lower rates as a filling strategy; shorter lead time bookings (0โ7 days) can hold higher rates if demand supports it. Understanding your lead time distribution is the foundation of yield management for independent properties.
